In this role, you will lead the end-to-end implementation of a new global electronic Document Management System (eDMS) across multiple manufacturing sites, supporting approximately 20,000 users. You will coordinate cross-functional teams, ensure project delivery within scope, time, and budget, and manage organizational change activities. Your expertise will be critical in ensuring a smooth migration, process finalization, and system validation, while maintaining compliance with industry standards.

Key Responsibilities

  • Lead the planning, execution, and oversight of the eDMS implementation project, managing timelines, milestones, and budget
  • Coordinate efforts between internal teams, external vendors, and technical consultants to ensure seamless project delivery
  • Drive business process analysis, system configuration, testing, and validation activities
  • Manage change management initiatives, including training and organizational readiness
  • Identify project risks and develop mitigation strategies to ensure on-time, on-budget delivery
  • Maintain clear and ongoing communication with stakeholders and project teams, providing regular updates and reports
  • Develop detailed project plans, track progress, and ensure deliverables are met according to schedule
  • Oversee project documentation, including plans, status reports, and meeting records
  • Control project expenditures and report on financial performance
  • Lead and facilitate project meetings, workshops, and governance reviews

Candidate Profile

  • 5 years experience in software project implementation, preferably within regulated environments such as GMP
  • Proven success managing complex eDMS and eQMS projects, ideally with direct experience in Veeva systems or similar solutions
  • Strong leadership and team management skills, capable of motivating diverse teams and managing stakeholders at all levels
  • Excellent communication skills, with the ability to articulate project goals and technical concepts clearly
  • Skilled in risk management, change management, and problem-solving under pressure
  • Experience with project management methodologies and tools such as JIRA and Confluence
  • Formal project management training and certification are preferred
  • Ability to work effectively in a multicultural, global environment
  • Strong negotiation skills, with a focus on conflict resolution and resource securing
  • Demonstrated ability to balance multiple priorities and adapt to changing circumstances
  • High integrity, accountability, and a proactive approach to project delivery
  • Languages: English Business Fluent, German Business Fluent is a plus
